Quietops in One Page
Think of this as a calm internal wiki, not a script. Read it once, then skim it when you need a reminder before outreach or calls.
What Quietops does
QuietOps builds AI‑powered assistants and automations that handle customer calls, website chats, WhatsApp messages, appointment booking, and repetitive admin work — so businesses can serve more customers without hiring more people.
Who we care about
We focus on European service businesses that depend on the phone and messaging: clinics, real estate agencies, law and consulting firms, hospitality, and similar service‑heavy teams. Most of them already feel the pain of missed calls and stretched staff — they just haven’t solved it yet.
For you as a rep
Your job is not to be technical. Your job is to find the right businesses, surface their “missed calls” pain, and guide them to a calm decision: a free scoping proposal that makes the ROI obvious.
What We Sell
Use this as your mental model of the QuietOps offer. Everything else you say hangs off these four building blocks.
1 · Ai agents
An AI agent is a virtual employee that answers phone calls, website chats, and WhatsApp messages like a real staff member who knows the business — services, pricing, policies, and tone of voice. It works 24/7, never takes holidays, and logs everything.
- Answers common questions (hours, services, pricing, directions).
- Books appointments directly into the business’s calendar.
- Qualifies leads and logs every interaction in the CRM.
- Sends confirmations and reminders automatically.
- Handles multiple languages with automatic detection.
Pricing tiers (AI agents): Basic — EUR 7,500 setup + 799 / month · Professional — EUR 15,000 setup + 999 / month · Premium — EUR 30,000 setup + 1,250 / month.
2 · Ai automations
AI automations are behind‑the‑scenes workflows that take boring, repetitive tasks off the team’s plate: follow‑ups, scheduling, reporting, and data syncing.
- Follow‑up messages after calls or form submissions.
- Reminders and rescheduling flows for appointments.
- Weekly or monthly reports sent automatically.
- Data syncing between CRM, calendars, email, and other tools.
These are always custom‑scoped. Expect setups in the low‑to‑mid five figures when there’s real complexity — but you don’t quote. You gather pain and volume; the team scopes and prices.
3 · The full build
The Full Build is the all‑in‑one package: a modern website, AI agents on phone/website/WhatsApp, and key automations wired together from day one. One project, one partner, one invoice.
This is for businesses that say versions of “we need to modernise everything” or “can you just handle all of it for us?” — not for tiny, one‑channel experiments.
4 · Custom / open‑scope work
QuietOps is deliberately open‑scope within our world: AI agents, automations, integrations, and digital workflows for service businesses. If it sounds related, you never have to say “we don’t do that.”
“That sounds within what we do. Let me grab the details and have the QuietOps team scope this for you.”
How To Sell
Use the playbook for detailed scripts. These are the principles you should keep in your head on every call and every message.
Lead with the problem
Start with their world, not with “we sell AI.” Ask questions like:
- “How many calls do you miss outside opening hours?”
- “What happens when two people call at the same time?”
- “How much time does your team spend on scheduling and follow‑ups?”
Do the roi math live
Use rough numbers they give you. Show how a handful of extra booked clients or saved staff hours easily justify the setup and monthly fees. Keep it on a napkin — not a spreadsheet.
Match eu buying culture
No hard pressure, no hype. Calm, clear, consultative energy beats American‑style “hard close.” You’re helping them decide whether to fix a real leak in their business, not pushing a gadget.
Trust & gdpr language
When they ask about data, privacy, or “where does everything live,” give this line slowly and clearly:
GDPR confidence line:
“Client owns their data. We keep it confidential. If they leave, we export and delete within 30 days.”
Then pause. Most buyers just need to feel that someone has actually thought this through.
Your Sales Process
Simple on purpose. Hit these steps consistently rather than reinventing a new dance for every lead.
- Research the prospect — website, reviews, social profiles, existing tools. Look for evidence of phones, appointments, and being “busy.”
- Outreach — email, LinkedIn, phone, WhatsApp. Lead with the problem: missed calls, staff overload, slow response times.
- Discovery call — listen 80%, talk 20%. Dig into how many calls they miss, when they miss them, and what that likely costs them.
- Hand‑off to QuietOps team — log everything in the CRM, add clear notes and tags, and flag it for a scoping/proposal build.
- Follow up 3–5 days later — polite nudge with a reminder of the ROI and specific pain they shared.
- Close with ROI + no‑lock‑in — highlight one‑time setup, flexible monthly, and no long‑term contract.
- Handoff to delivery — clean context to the implementation team so the client feels like one smooth experience, not two separate companies.
Your Role & Boundaries
What you are responsible for, what you are not allowed to do, and how we expect you to show up.
What you own
- You are a non‑exclusive independent freelance sales representative for QuietOps, not an employee.
- Prospecting, outreach, lead qualification, appointment setting, and related sales support activities (initially focusing on real estate and similar service businesses).
- Presenting QuietOps accurately and professionally and following approved positioning.
- Recording lead activity and status updates in the designated CRM and promptly handing over qualified leads and booked meetings.
- Avoiding misleading, deceptive, unlawful, or overly aggressive sales practices and respecting local outreach, privacy, and marketing laws.
What you must not do
- You are not authorized to bind the company, sign contracts, or make legal commitments for AXARA or QuietOps.
- You must not promise product features or custom work that has not been approved by the company.
- You may not accept payments directly from clients unless the company gives prior written authorization.
- You may not actively solicit clients outside your approved territory without written consent.
- You must keep all non‑public information about QuietOps (pricing, workflows, prompts, leads, customers, operations) confidential, even after the relationship ends.
Suggested IcP (Who To Focus On)
This is not a hard limit. It’s a starting point so your own research and scripts land where our offer is most likely to close.
Company basics
- 10–50+ employees (not solo or micro businesses).
- Healthy profitability — roughly 500k EUR or more after costs.
- Based in Europe or serving European customers.
- Service or appointment‑driven, where phones and messages matter.
Priority industries
- Healthcare & clinics (dental, medical, physio, aesthetic).
- Real estate agencies & property management.
- Legal, consulting, accounting, and other professional services.
- Hospitality & services (hotels, high‑end restaurants, spas, salons).
Core pain (non‑negotiable)
- Missing 10+ calls between 17:00 and 09:00 on a typical day or weekend.
- Clear admission that missed calls or slow responses are costing them money or reputation.
- Staff complaining about after‑hours calls, constant interruptions, or heavy admin.
Good signals
- They already use some mix of CRM, booking tools, and calendars.
- They’ve tried hiring receptionists or using basic chatbots/call‑answering services and are dissatisfied.
- They talk about wanting to look “24/7” or more professional without hiring more people.
Red flags
- No basic digital stack at all (everything on paper, no shared calendar).
- Ultra price‑sensitive from the first moment (“what’s the cheapest thing you have?”).
Use this ICP to choose where you spend your time. If you find a slightly different segment that is closing well, share it — we’ll refine the ICP together.
Commission & Contract
This is a quick reference. Your signed Freelance Sales Representative Agreement is always the source of truth.
Commission basics
- 20% commission on one‑time setup fees actually collected by the company.
- No commission on monthly subscriptions, retainers, or other recurring fees.
- Commission is earned only when you sourced the lead, the client signs, pays the setup fee in full, and the payment clears.
- Paid within 14 calendar days after the end of the month in which the relevant setup fee was fully received and cleared.
- All amounts are stated and paid in euros; if a client pays in another currency, commission is based on the euro amount actually received.
Contract reminders
- No minimum contract term, but there are notice rules in your agreement.
- You are an independent contractor — no employee benefits, and you handle your own taxes, social contributions, and registrations.
- The relationship can evolve in the future, but there is no promise of employment or fixed hours.
FAQ
Use these answers when you need something quick and clean on a call or in writing.
What if a prospect asks for something not on our website? ›
We’re open‑scope within our world. Don’t say “we don’t do that” on the spot. Instead:
“That sounds within what we do. Let me grab the details and have the QuietOps team scope this for you.”
Take good notes in the CRM and tag the team. We’ll decide how to package and price it.
Do I need to be technical to sell this? ›
No. Your job is to explain the value — fewer missed calls, more bookings, less admin. We handle prompts, models, and infrastructure in the background.
If someone goes deep into technical details, say: “That’s a great question — I’ll loop in our technical team and get you a precise answer.”
What if a deal falls through after I sourced it? ›
Commission is only on setup fees that are actually collected and kept. If the client never signs, never pays, or is refunded, there is no commission on that deal.
The best protection is a wide, healthy pipeline and consistent follow‑up so any single deal is a bonus, not your entire month.
Can I sell outside my approved territory? ›
Not without written approval. Stay within the territories listed in your agreement unless we explicitly expand them for you.
If you spot a strong opportunity elsewhere, flag it to the team and we’ll decide together how to handle it.
Who builds the proposals? ›
The QuietOps team. You open the door, run discovery, and make sure we have clean notes in the CRM. We handle scoping, solution design, and pricing.
This lets you spend most of your time where it matters most: finding the right businesses and having serious conversations with them.
